Marshall Sounds of Summer: Parade Contract
TIME OF EVENT – 4pm Saturday, August 18, 2012
SET UP – All participants are required to be completely set up and in their designated line-up position by 3pm.
PARKING- Off site parking will be available for participants. No cars can be parked on the parade route or in any “No Parking” zones.
UNIT PARTICIPANTS- Participants of the parade must be dropped off at the designated parking lot. No one will be allowed to drop off participants at the unit location in the parade line-up for safety reasons. No exceptions will be allowed.
SPACE REQUIREMENTS- Participant must fit their complete unit in the space they requested on parade application form. No additional space will be provided.
DISPLAYS AND DECORATIONS- All displays and/or decorations will be the responsibility of the participant. Participant acknowledges that the Sounds of Summer Festival does not maintain insurance covering the participants’ property and that it is the sole responsibility of all participants to obtain business interruption and property damage insurance covering any and all losses by participant. All units must be flame retardant.
ADDITIONAL EQUIPMENT- Participant must supply own equipment. SOS Committee, and the City of Marshall cannot provide any additional equipment to participants.
UNIT LOCATION- Parade line-up is to be determined by the SOS Committee. The Sounds of Summer committee will do its best to accommodate all requests for unit location, however there are many variables that go into mapping out the parade route. The committee makes no promises as to the location of participant unit space and reserves the right to change location of unit if necessary.
UNIT CONTENT-Units passing out information or treats must hand all items to the parade spectators. All items must be suitable for a family audience.
SPOTTERS- If a participant is handing out items, there must be a spotter on each side of the unit. This will prevent people from coming towards the parade unit.
PERFORMANCE TIME- Units performing are asked to keep “stand still” performance time to under 2 minutes. Marching or moving performances are encouraged to perform as much as desired.
ANIMAL UNITS – All animal units are required to provide their own cleanup.
CONDUCT- Participant agrees to conduct themselves in an orderly manner in full compliance with applicable laws and regulations. All participants are required to act appropriately and responsibly.
PARADE ROUTE- Parade route has been determined. This route will be sent to you along with your line up number come closer to the parade date.
INDEMNIFICATION- To the extent permitted by law, participant hereby agrees to protect, indemnify, defend and hold harmless the SOS Committee or the City of Marshall and their respective volunteers against all claims, losses or damages to persons or property and costs (including reasonable attorney’s fees), arising out of or connected with the event, including but not limited to, the set-up, removal, maintenance, occupancy or use of parade route or a part thereof, by participant, except those claims arising out of the sole negligence or willful misconduct of the SOS Committee or the City of Marshall.
